Our own operating system

Kadvern One is the software we run our company on. Clients, projects, tickets, hours, invoices, passwords and notes sit in one application, and our clients reach us through its portal.

Why we built it

An agency usually runs on a dozen separate tools: a CRM, a ticket system, a time tracker, an invoicing app, a password manager, a wiki. Each has its own login, its own copy of the client list and its own monthly fee. We wanted one place that knows every client, project, hour and invoice.

Kadvern One keeps those records itself and connects to the services that do the heavy lifting: Qonto for invoices and the bank account, Slack for our team chat, GitHub and Vercel for code and deployments.

It is also the clearest example of how we work. We use it every day, and we can show you every part of it.

What it does

  • 01

    CRM and sales

Companies, contacts and projects in one place. Deals move across a board from lead to won or lost, by drag and drop.

  • 02

    Tickets and tasks

Client issues and internal tasks in one system, with status, priority, a lead, helpers, mentions and watchers. Each ticket has a short key that links it to the code changes that mention it.

  • 03

    Inbox

Shared mailboxes work as a mail client inside the app. Mail to the support address becomes a ticket, and replies go out from the same thread.

  • 04

    Time tracking

A timer on every ticket, manual entries and a weekly timesheet. Billable time is marked, and once an hour is on an invoice it is locked.

  • 05

    Billing

Every project has its own billing model: hourly, fixed price, retainer, or recurring items such as hosting. Quotes and invoices are created as drafts in Qonto.

  • 06

    Client portal

Clients sign in to file and follow their tickets, write to us, download files and see their invoices. They only ever see their own company's records.

  • 07

    Passwords

Access data for client systems, end-to-end encrypted. Encryption happens in the browser, and the server never holds a key that could decrypt it.

  • 08

    Knowledge base

Pages on processes, client setups and meetings, ordered in a tree per company or project, with versions, search and comments. Selected pages are shared in the portal.

  • 09

    Operations

Projects are linked to their GitHub repositories and Vercel deployments. Monitors check the websites we look after every five minutes and warn before a certificate or domain expires.

  • 10

    AI assistant

An assistant that knows the records. It answers questions, finds tickets and mail and drafts replies, running on Claude through Amazon Bedrock in Frankfurt. New tickets arrive with a suggested priority and a draft answer.

How it is built

Kadvern One is a Next.js application written in TypeScript, with a Postgres database at Neon, hosted by Vercel in Frankfurt.

Every change goes through the process described on our home page: one detailed specification, small assignments, separate AI agents for writing and reviewing code, automatic tests and our sign-off. Changes to sign-in, permissions or passwords get an extra security review.
